We are new and still learning this system. We are also a little unique as we have several different programs from 3 to adult and need to use the system in several different ways. So far we are pleased with what we have experienced. We turn billing and payments over to it on 1/1/17 so we'll see how that goes.

Pros

I like the integration of the MyProcare site. I like the dashboard. I like most of the formula billing system

Cons

Need to have more control over required answers on the registration in MyProcare. Need to be able to track vacation days but still bill for them if they are over their number allowed.

Advice to buyers

During hurricane we lost power and internet for several days. It would have been nice to have a button on the mobile site that would send a message to all phones and emails on file. An "emergency message button" if you will. We could have used that to keep our families informed.

Recently I've had to contact Customer Support and found the experience quite pleasant. My issues was resolved rapidly and even the time I was required to wait it was not an unreasonable nor long delay

Pros

even when I haven't used a function in a while, it is fairly easy to get results and steps through looking around the site. There Customer Service department is especially helpful

Cons

I do have to carefully follow steps in exact order to get my desired results.

Advice to buyers

call their support if needed, they are so helpful and actually save time, instead of 'hunting' around (when you are a tad out of practice or have missed a step)

We came from another child care manager system and after switching to Procare we are amazed at how easy, informative, and supportive a child care manager system and a support team can be. We are very impressed with the system and company all the way around.

Pros

All of the information that you are able to pull out of it for financial and management decisions.

Cons

It is difficult to create custom forms/reports to provide the information you are looking for. Often have to use a couple different forms to pull bits and pieces from to get information you are looking for.

Overall, a great software program with many excellent features and ease of use.

Today I was frustrated with several outstanding issues in Procare I was experiencing due to user error. I was delighted to receive help on the support line from Benji Fargason. He was patient and methodically addressed 5 different areas I was struggling in accounting/deposit reports. He took extra time to verify I had a keen understanding of each process so I would be successful in completing each task on my own in the future. He displayed expert knowledge of a vast array of ProCare functions. He spent an hour carefully guiding me through each scenario and I could not have asked for greater tech support! Thank you and God bless you Benji! I even received his personal extension # in case I had any problems once I concluded the call. Excellent costumer service indeed!

Tuition Express has been a great addition to our tuition payment at our center. It has given parents an option of online payments with rates lower than other credit card services. It also centralizes the choice so I'm not billing people through one site but collecting via the website with another service. The integration with Procare Software is excellent. So glad we invested!

Integration with Procare. Security. Simplicity. Reports.

Cons

Wish I could invoice families but I'm still able to run balance reports which takes and invoice's place (at least there's a solution). Like any new software it takes committed time to learn and can be a challenge to get families to get on board.

So... I had one little question, right? One little itty bitty - probably could have figured it out by myself - question. But.... it's people's finances, so I called to make sure I didn't screw anything up. Holy Goodness Gracious. NO. I solved what I had initially called about - but I still scheduled an additional call with Benji because of how many ???s he answered that I didn't even know I had. I started with TE and Procare about 6 mos. ago. I simply take parents tuition for a small(ish) preschool. That's it. No big deal. The person who was in this position before me trained me the best she could on the software and she was trained by someone else who really never understood the initial training given to her. Follow all that? Yeah. Exactly. Enter Benji. I seriously have sat in front my computer using Tuition Express software every week for 6 mos. I've never fully understood it, never appreciated what it could do and can promise I've never been excited about exploring it's further uses. I've been called by your sales department 3 times to consider Cloud services and MyProcare. Firm no. Every time. I can tell you that after speaking with Benji - I'll be bringing a proposal to switch to Cloud capabilities soon. Benji made me feel comfortable with my software abilities, taught me how to use TE better. He taught me about the ins and outs of TE that I wasn't even aware I was missing. (POS, files, individual posting, etc). Benji's enthusiasm, his passion toward your product, and his knowledge of the Family Data and Accounting Portal is above and beyond. He was encouraging & really sparked my interest to now speak with Shauna about Ledger & Expense and Employee & Payroll. Benji cemented my opinion that my school should stick with TE software. He inspired me to learn more about it. He sold me on the idea of additional portals - and as someone who is supposed to be running a tight ship - that's no easy task. I'm pretty sure I even exclaimed "Hot Damn!" in a church preschool more than once today. My background is in Sales Management and Customer Service, Benji is a gem of an employee and please be so aware of that. He is a representative for you in every sense of the word. Professional, knowledgeable, fun to talk to and passionate about what he's working with. A++

It's fluidity. It can grow with us and help us grow. It can be my checks and balances so that I will always be accountable to my staff, my parents and my board. I can organize and create clear reports in ways I wasn't able to do previously. Amazing stuff really.

Cons

Learning it. It's hard to self navigate. But the training you can get is very good.

When I called about the program I did not think I would be affordable. My sale rep. (shelly) was great and told me she could make it affordable and step up payments. If I have a problem I call up support the walk me thought step by step, log on my computer, and talk there time to help me with what ever I need. My parents love that they can go on line and pay or use there credit card at the school. Not only is the program GREAT but the staff is GREAT to I have never had a bad experience yet and it has been 2 1/2 years now.

Everything. Able to work away from the office, does everything I need for report, billing, shots updates, parent check in, sign-in sheets, to taxes.

this is the best investment you can make for your business. Great for people just starting out and not use to make report for daycare, this program will do it all, and support will help show you how It works. My experience with Procare support today was an extremely pleasant experience. Benji was cheerful & easy to communicate with & solved my issue, helping me through some recent concerns. He guided me precisely & with patience. I was extremely satisfied. I was recently placed in as interim director & this was my first ever need to contact Procare. I was so glad it was as painless and pleasant an experience as I could have hoped for. He tried to help me with an additional issue (left over/long term entries that needed taken care of once and for all). He felt he needed to refer me to another support tech. We purchased this software to use for our daycare and it has exceeded our expectations. With ease of use, customer support, and many other features, this has been an absolute gem.

Keeps each child's parent contact information, shot records, special memo alerts, etc. We use thumbprint reader for employees and clients to check in and out.

We had ProCare Cloud for a month and decided not to continue. Josh did a great job getting our primary computer back on ProCare on Tuesday. We did not put the second one own to make sure we had backed up the information that had been on the cloud. So today when I called, Michelle was the agent I spoke with and she did a great job in getting the second computer back up for me. I appreciate their help and their great customer support.

Our accounts receivable continues to be lower than ever before and we have reached zero dollars due on a weekly basis many times since moving to the Procare software. Procare has been great. Customer support is stellar (quick and efficient and patient), reasonably priced for what you get, features are great and they are open to new ideas and feedback, they keep up and in touch with clients. It's not easy to learn new software but they do a great job putting as many accessible resources out there for clients to use to learn how to get going and maintain data. I'm so glad I finally dove in and purchased Procare.

Cons

There's such a learning curve learning new software and entering data (but there would be with any program) so I'm very excited for the parent portal as now some of that will be inputted directly from online!

Our center has used procare since we opened in 2001. We would never use another software. Procare accurately tracks daily attendance, and helps us to have everything needed for every family available at the click of a button. The same ease is true for the employee element as well. Tracking daily hours is a breeze and all of the reports help so much. My favorite part is being able to add the photos for the accounts.

A previous director purchased this software program in 2011 and never installed the program. I contacted Pro-Care if this software was still available to use or if I would need to upgrade to a different software program (in the year 2016). Michelle was a tremendous help in giving me information of what was needed and expected. I was ready to take on the challenge of installing this software. A little while after I had called, Michelle had called me back and reported that she had talked to her supervisor and was agreed that since our center never installed the program, they would renew the contract for a new year! What a great surprise! I am still in the process of setting up the program and following the directions in the manual. I have had one bumpy moment so far, but I called Pro-Care (got Michelle again!) and she quickly and effectively helped me throughout the process. I know that if there are other issues, I am can get ahold of a support person and have my issues resolved!

I have now used ProCare for a year and it has helped me with parent and staff checkin and out. Tuition Express gives peace of mind. I know every month that parent payment is on time and I don"t have to go ask parents to pay. The Student data base help us keep immunization, emails, phone numbers and may more things unto date. I have a lot to learn but with the help tech support I'm starting to use it to its full potential. I would encourage anyone running a childcare center to look into getting this program. It will save you hours of paperwork and keep you organized.

I had a parent who needed to use two credit cards for payment and wanted them to be set up automatically. I called and spoke with Benji who was extremely helpful in helping me find a solution for this family by using the on line payment system. He was very knowledgeable and did a wonderful job explaining and talking me through the process! I've always had great service with the TE representatives but Benji has surpassed them all!

We are just starting our 4th year on Procare at our center. We are going through a State audit and it is invaluable to have all the reports for attendance, accounting and other things that the auditors are asking for. We cannot imagine going through an audit if we did not have Procare installed!

Just one nitpicky thing; I would like a feature that would let you automatically duplicate one months budget to the other eleven months without have to manually import and save the monthly budget into the other eleven months

Have used many different software packages and typically have found the the more user friendly the less functional the software is. Employer was using only the AR portion of the software. The AR is easily understood and does an excellent job to working customer accounts and statements. Just recently added Expenses & Ledgers and hope to add Payroll in the not too distant future.

Pros

AR system is excellent. Very user friendly and straight forward. Being a new user without a previous user available to train me found the help to actually be very helpful. Webinars are an excellent tool and the support help desk is remarkable. AR automatic billing took a couple of tries to get right, but errors made were easily corrected. Tuition Express auto pay is excellent.

Cons

The system is designed with the non-account in mind. Consequently for an account it is a bit cumbersome. AP has the most room for improvement. Need to be able enter and select for payment on a single check multiple invoices for a vendor with different invoice/due dates. AP also needs to prompt the user if a duplicate invoice number is being entered for the same vendor. AP needs to have the ability to accept a negative invoice and credit memo without having to apply it to an outstanding invoice. General Journal entries tries to help by selecting the normal debit/credit side which slows me down. Also would like to be able to enter a description for individual entries rather than a single group entry description.

Advice to buyers

As wonderful as AR is AP needs improvement. Limitations of AP causes a concern of implementing Payroll. Payroll is much more complex with far more error risk liability exposure. It is only fair to mention the Procare system was setup by another individual with limited accounting knowledge. Numerous errors have been discovered (i.e.; charge/credit descriptions established with incorrect account number). While some of the errors are difficult to find the system is easily corrected.

I was stressed to the max not only because of the new program but the switch happened right at the beginning of the school year. I had a terrible time trying to use the guide...not because it is not written well but because I am more of a "show me" person. I finally called tech support! I cannot say enough about Benji! I have his personal extension number. He is quick to call me back if I leave a message. Or he answers his line! He never makes me feel like I am asking an unreasonable question. I love the "help" feature! I have made some mistakes that have left me holding my breath. (I billed all of the auto draft accounts twice.) I was sure it was the end of my career! Banji assured me that he could help...and he did! I like the Dashboard. There is so much information. It still takes me awhile to enter a new family/account but each one gets easier. I can print statements and reports quickly. There are features that I have yet to explore but I am learning something new every day.

When are internet has gone down and parents can't check in it would be nice if you could just bring up a list and put in separate time with out going in and out of accounts. We have 200 children that are coming and going at all different times so it does work to do a patch of all the same time.

We charge for meals. It would be nice if somehow we could charge for meals based off of the meals that we are marking in each a account each day.

Before my center purchased Procare, I struggled with parents paying their tuition in a timely manner. I spent countless hours manually computing my CACFP data, as well as data for other reports I am required to complete each month. With Procare (Tuition Express), all of my accounts are current and the required reports are completed in much less time. All of the data I need is right at my fingertips.

Pros

I can access my child development accounts anywhere and anytime using the cloud.

Cons

The equipment for parent sign-in is a little expensive.

I would definitely recommend Procare/Tuition Express to anyone who works in the child development world. It will definitely my your job less stressful.

It was an awesome experience cuddos to my customer service Tech.

We've been using Procare for five years and have grown increasingly dissatisfied with it. This software is simply not evolving fast enough to keep up with modern times and needs a significant investment in design and coding to meet current needs.

Pros

One stop solution for many needs. 100x times better than paper and pencil.

Cons

1. Not cloud based. Yes, there is a "cloud" version, but it's actually VPN which requires local install of software. 2. Feels like Microsoft in 1999. Not even close to feeling like something built by modern computer engineers. 3. Completely inadequate reporting. Hundreds of reports? Yes, but most are useless. Simple things like ratio trends do not exist. The ratio report is literally a bar graph report where you must count which bars are higher and lower to spot issues. Want to estimate payroll for the current period? While the system has every employees hours and payrates, it can't multiply. Seriously, there is no way to generate a report that says yesterday's payroll was $x because there is no report that can multiply the two numbers. 4. No open API or access to data. There is no way to integrate this data with other software to make sense of it. 5. Clunky interface. There's a dashboard, but you can't do anything from it. See a child that should have been checked out? You have to go to a different screen click a few buttons first. You can do NOTHING from the dashboard itself. 6. Development seems to have stopped. Updates add tiny improvements when a full rebuild is necessary. For example, the system has no auto-logoff rules. Away from the computer for 30 minutes and want the system to kick you off for security? The system can't do that. Support recommends adding a password screen-saver instead of fixing problem.

Advice to buyers

This is great software if you are coming from a pencil and paper world. If you have more than a basic knowledge of modern technology, this will leave you begging for more and frustrated as heck.

We have use Procare for 15 years and love it! We do not have all the modules but most of them. We work within Procare 80% of our day. We have recently converted to V10 and are working often with Support to help us with or little challenges.

We have found the video's to be awesome! The help feature is the Best! The helpfulness and person care from all the support staff is A+ !!! Love Remote Access by the staff!!!

Cons

It's a challenge learning all the new buttons and new reports but at some point it will become second nature. County ledgers did not transfer correctly and had missing data. Thankfully Support has taken it over to work on to see what is the best and simplest solution for our specific situation.

Advice to buyers

Would love that when notes are being put in for parents that it would automatically enter their name at the beginning of the note. Reason.... When looking in reports at messages it does not say who the message is too and so you don't know what message to look at if a parent comes in asking about their message. It also really needs to be automatically placed into their log with date and time if possible. Right now we copy and paste.

Josh was a wonderful help to me! He was persistent to return my call several times, even though I was unavailable each time he called. It has many capabilities and is easy to learn and maneuver.

Cons

The reporting methods. I would like to be able to perform functions to multiple files at the same time, not having to enter each individual to make changes. I would like to be able to print reports from the filtering that I do on screen and print that information. Not have to exit and find and create a report to print what I was just viewing. I would also like to have multiple windows open at the same time. Many times I am in a file, and have to jump out to enter another, or stop the function I am performing to handle something else.

Advice to buyers

Solutions to problems need to be offered sooner. A desire to provide excellent customer service and actually doing that are two different things. Procare would be much more user friendly if you provided more multi tasking options.

I use this program for payroll and monitoring child attendance. The payroll time cards are extremely easy to use with QuickBooks. I export the weekly child attendance to Excel to reconcile with manual forms to verify their accuracy for CACFP (food program)

Pros

It is extremely accurate and has an enormous set of features that I am still learning to use. It is relatively easy for someone like me who has a good working knowledge of computer work, but am not anywhere close to being a computer geek. The customer support has been very good in the times they were needed.

Cons

Customer support is needed about 2-3 times per year to get the software working. Sometimes, it takes a long time (over 30 minutes) to get a live person online. However, once a CSR is connected, they are very polite and get the problem fixed. Hardware issue: some people have a problem with their finger image so we are having to set them up with other fingers. We tell them to rub behind their ears for natural oils to improve the image on the platen but there are some people who continue to have problems.

We have used Procare since 1996 and tried 2 other systems prior to finding out more about Procare through use of their demo. We've upgraded each version which has enhanced services each time. The sales and technical support personnel are very informative, friendly, and accessible. We also use Tuition Express which makes collections a breeze. Additionally, we use the keyless entry system for enhanced security. Procare has kept up with the needs of families and childcare center management by making these additional options.

Advice to buyers

Start with what your immediate needs are and keep reading and playing with other features. Every time you can add another element of the program to your operation, you will save time and money. Do not get overwhelmed with learning and attempting to put every feature at the exact same time. We learn with each new upgrade and attend webinars when we see new ones available. Then, we call and talk or email online support to discuss further. The support team are ALL wonderful!!! Thank you.

I was really in a bind and had no idea how I messed up my batch; it was late Friday afternoon and not sure if anyone was there to help. Thank heavens there was! The tech support person was so efficient and friendly; she got me through my mess and I was able to charge the correct amounts for my center. She also spent time with me explaining some features of Tuition Express that I was not aware of and will certainly consider for future use. Thanks again for all your help!

I am the director of a childcare/preschool/before & after school care program with approx. 260 children on our campus each day. We started using TE to collect our tuition/fees about 4.5 months ago and it has been a huge asset. We did not offer a choice to our families, their only form of payment has to be through a bank account, credit card or debit card. They must have one of the three on file. We were very worried about this. We were thrilled with the overall response and positive results. Customer service has been fabulous, especially Benji. I felt like we drove them crazy with questions both before and after we started the program. We have no regrets. It saves our directors much time with the auto payments and having the payments directly applied to the family accounts. What used to take each director hours each week, now only takes minutes. It is by far one of the best decisions we have ever made for our program.

Pros

The time that it saves our staff, the time it saves running to the bank and paperwork for multiple deposits. The convenience for the families and our staff. The dependability of receiving payments more consistently. It forces families to make childcare a priority.

Cons

It can be confusing reconciling with our accountant at the end of the month because our reports at month end do not always align exactly with our bank statement. Often tweaking needs to be done and dealing with bank account insufficient fund transactions can be confusing as well.

Advice to buyers

We love it overall and so do our parents. We are spending much less time trying to collect our monies from our families. Wish we would have taken advantage of this program sooner. Customer service has always been excellent!

We have been using Procare for several years and it is user friendly and works well. Procare has continuously updated their technology that allows additional options to get the job done. We use the data hosting and it is great since you can sign in and see the latest information from anywhere. It is also easy to use and they offer different tools for learning.

Pros

It is easy to use and can be accessed anywhere. You can also upload documents to a particular child or the family account.

Cons

Reports do not reflect children's names when accessing balance information.

Advice to buyers

Would like to see a module or upgrade that could be used for report card information (grades, progress reports, etc) for school age children.

Pros

You can manage accounts so well. Give reports to parents when needed and parents find it easy to understand.

Cons

Wait time for Customer Support is often long. However when you have someone to help remote into the system the problem is fixed ASAP.

When systems are updated I often have a problem navigating the change, or I feel as if I am in the wrong report. I will figure it out, but I am not a person that likes a lot of change. That's just me.

Prior to purchasing Procare, I was contacting by a consultant and she was very helpful and patient with me. After purchasing the software, I was contacted again to assist me with the setup and to help me better understand the items I purchased. Everyone that works for Procare is extremely helpful and they have helped us tremendously.

Procare is able to manage many aspects of a childcare center. The broad range of items available is very useful.

I worked at another preschool for 20 years and did not have a program such as this. Processing monthly tuition was a nightmare. I would have to write it out, then got to typing all the monthly tuition and the parent's credit card info. Too many mistakes were made. I started at the current place and found the credit card reader on my desk. I was a happy camper!

Because we are annually audited, the accounting piece of the software is not CPA friendly. If a center had revenue less than $750k, the accounting module may be sufficient. Not enough checks and balances to prevent accounting errors for the non accounting person.

The center has been using Procare for over 15 years now and we love it! We started with Procare 9 and loved it. We were hesitant to change to Procare 10 because it was unfamiliar to us and we were happy with 9 but once we changed to 10 we loved it. Procare is made for child care! It is easy to use and understand. It has a lot of resources to use (rollcall sheets, attendance forms, etc). Customer Support is always there to help with any questions, training or support. This is the best software have come across as of yet. We you first here the price please don't let the turn you away. I have a small center and we were able to payments that was not overly priced, that fit our budget. The program does every thing for you from attendance sheet, parents check in, credit card payments, shot records, daily role sheets, letter to parents, and many many more. The customer service is superb they are will to help with ANYTHING from the smallest to largest, call you and ask if you need help with anything, and the sells reps. (Shelley) will not sell you anything you don't need! This program does everything but run the center for you!

"The online support site combined with the extremely knowledgeable and helpful staff allowed us to move over to Procare with ease. Our parents were happy to be able to log in and get account information as well as pay their account balance if they chose.  We have better control on accounts receivables and valuable reports with summary data.   My only negative would be that I would like to see more functionality with exporting reports and linking the child to the payer accounts."

We installed Procare almost a year ago in our Little Lambs Daycare. It was been very helpful.

The detail Procare has brought to our daycare is very helpful. Because we have grants with the State of New Mexico, it allows us to track attendance, meals, and other critical issues much easier and more accurately than doing it by hand. The one item that would be helpful to us is if the family accounting system would allow for a bad debt category. We had a $900 bad debt, and could not get it into the system. We have QuickBooks for our payroll and accounting, and we had to force an entry in there so we could account for the bad debt, but it does not show on Procare. The only thing there is to just delete the debt, and that is not correct accounting procedure.

I have been using Procare for 3 years, and am extremely happy with all aspects of the program! The accounting system is wonderful, and so easy to use. This software makes it so easy to keep track of tuition payments, outstanding tuition, etc.! I do miss some features from version 9 but like with anything you adapt and make changes for it to work for your program. Our owner/director was using an Excel spreadsheet to keep track of tuition payments and records prior to Procare, it was a nightmare and very time consuming but Procare has made us so efficient!

The man hours that Procare saves this company allows this software to pay for itself. Overall, I am very pleased with the software, and its ease of use. It does seem that when something does happen to go wrong, it happens to a lot of customers at once, so getting through to customer support can be a lengthy process. I would like to see a better interaction with Apple products, for those of us that have made the switch to an iOS platform. If I had one wish it would be that parents were able to enroll themselves, or at least have a registration process that allowed the enrollment information to be downloaded into the assigned fields, with the billing information added by the office personal after the initial enrollment. That would take Procare from a solid 8, to a 10!

I have been working with Procare for 3 years. I have used it for all of my Preschool needs. I use this program through most of my day. For Security, I like being able to have parents check in with their finger print. It is easy to enter info on individual children and print up lists of students. In addition, we use it for payroll, billing, and doing deposit reports. When I have had to use Procare support, their technicians are very kind, patient, and helpful. I often put tech support on speaker because it can take 10-40 minutes in the Que. I have always been glad I called and would recommend this program to anyone.

I really like the Family Data & Accounting module but Procare's accounting capabilities leave something to be desired. I come from a Quickbooks background and I feel lost when it comes to basic accounting functions. An example of this would be the ability to print a simple 941. Another example would be a check register. In Quickbooks I know how much money I have at any given time. In Procare, not so much. Please add these features soon!

I have been with Procare since 1997. I left for a brief period when they upgraded and changed the look and feel and went to a competitor. I am back and will not leave again. Procare has all the features needed to run an effective small and large early learning program such as collections of accounts receivables, parent easy communication tool, easy tracking of all the necessary paperwork for children and staff and so much more. In addition, their customer service department is easy to reach when you need them vs waiting for return calls. I highly recommend Procare for every early learning program.

Procare has been supportive, wait that's not strong enough, they've been amazing every step of the way. How exactly have they been amazing? Helping us (intensely) with our complex billing structure. Installing software on countless computers. Importing data in mass quantities with very little notice. Writing custom reports. Helping us set up, run & understand Tuition Express. Answering every question we ask. Giving us sage advice when we don't know what to do. I could go on and on! I've implemented a system at each company I've worked for in the last 20 years and I've never had an experience like the one I'm having with Procare. It's simply great software backed by great people.

I have been a happy Procare user since 2005. It has made the task of running our center's office SO much easier and faster. I have everything I need right at my fingertips. It is appealing to look at, as well as navigate. I love the skins that I can change from time to time. It adds a little fun to an otherwise tedious job. PLEASE add some for fall! It's every teacher's favorite time of year!! Being able to customize it to our center is also a big plus. It may seem a bit overwhelming to learn at first, but.... I chose to only bite off a little at a time. The online tutorials and blogs are very helpful, too. I am still learning new things in Procare all the time! I don't think I could ever implement all the things it offers! But it always manages to do what I need it to do! Thank you!! If I had to list a con, it would be the way the system keeps track of accrued benefits. Procare9 was much easier, in that, all I had to do was activate an employee and the software did the rest. One click, one time, done! Pro10 requires that I go in and manually choose who get's time and how much. When everyone earns time at a different rate, it makes for a time consuming process that I do not look forward to. Employees used to know each week how much time they had available. Now, because of the time involved in posting it, I only update their time once a month in the system.

Procare Software and Tuition Express have been the best thing for our preschool. We recently became a stand alone preschool and had to take on all the bookkeeping aspects after having it done for us for many years. With Procare we received step by step instruction and assistance whenever we need it! The Customer Service Reps are up to date on every area of the program and they teach you as you go which is so beneficial. Every time I call with a problem they have an immediate solution. The Procare Support videos have come in handy on many occasions and I would recommend downloading them for quick access.

I own two businesses that use Procare and we recently had a data recovery issue at one of them. Although we weren't able to recover everything due to our situation, I am most impressed and grateful with the Procare team and their willingness to help us through every step of resolving our issue. Mark was willing to respond to our emails and responded promptly and thoroughly. He never seemed annoyed by new questions and willingly and clearly explained every avenue until we understood all of our options. We also worked with Kacilia with Tuition Express who was so personable and helpful in understanding how to obtain the information we needed for our situation. Between both of our businesses that use this software, we have always been able to call, chat, email and get resolution of our problem or at least assistance to understand how to proceed. I highly recommend this software. One of our businesses is a preschool and one is a child care. Although they both use Procare software in different capacities, we have been impressed with all the functions of Procare and especially their support team. Thank you Mark, Kacilia, and Procare.

Procare keeps our business organized as it offers various functions with its program. It allows me to create student's schedules with ease. Billing has always been a breeze as well thanks to procare tuition express. The only improvement that could really help me has to do with the waitlist. The program does not allow to change the children's age and adapt it to current time. So when a child who was in the waitlist 2 years ago, his age doesn't change with current date so when I'm looking to select a child from a certain grade category, it will still show that child's grade level at the time of input.

It is very easy to use from posting charges, payments, enrolling new children whatever it may be it has been very simple. The only problems that I have had with it is when the State switched sign in sheets to a form they required there was no way to transfer the names to that sign in sheet so I had to type all the names in which was about 200 names or so. As far as using this on a day to day basis for keeping track of your children and payments for tuition it is a good program

"I have been using Procare for over 11 years. The program itself is easy to learn and grow with. I have been 100% satisfied. We currently use almost all of the modules available with the exception of the Employee Payroll. This includes the online backup (Procare cloud) which makes me feel confident that all of my important data will be backed up daily, even if I were to have my computer crash. Tuition Express is my favorite module because it saves me sooo much time. All of our parents pay tuition through this - I no longer have to take time out of my day to do a daily deposit and run to the bank. In a couple of clicks of the mouse, all the payments are collected. I find that the support is very helpful when I need assistance. The online help is easy to navigate through and find solutions on my own, however if I need to talk with a support specialist, they are always very helpful and will work with me until the solution is found. When I am on the phone with the support specialist, I find that they often share other helpful bits of information as well. I love the fact that they can remote into my computer and walk me through finding a solution to my question/s. I highly recommend Procare for all of your data management needs! You will not be disappointed."

"I had no training on Procare, as the last director left before I was hired. I was able to jump right in and navigate around the program. Within a week I was very comfortable and felt confident with my ability to use it properly.  Any time I need help, the tech is always friendly and helpful. The only con would be that there is often a VERY long wait. With the exception of this last time, I usually at least number 9 in que. which means I have been on hold for over an hour. Yesterday Benji helped us with the problem He was friendly, helpful and showed me how to do some thing I didn't know how to do. He also fixed the problem and told us why it happened. Billing is so easy with Tuition Express. I can have billing done in a matter of mins. and money is collected within hours. We utilize the online payments option for every famliy. Which means once they give us the payment information that they want to use, we charge that account. Quick, easy, no delinquent accounts and no late fees. "

"I have been using Procare for years now. Setting it up was easy. And using it even easier! Prior to using Procare I was doing everything manually. That process left room for errors. Procare set up allows me to bill all parents at the same time with just a few clicks. It also makes it easier to collect money. I use the check in system as well and from there parents can check their balances from the check in station. Since starting procare I have had better success with billing and collecting payments. I also do my own payroll and that saves me time and money as well. I also use Procare hosting. I am able to log in from my home. This helps when I need to get a message out to parents, I can send a text blast from my Procare. Procare technical support is AWESOME! They take care of my quickly if/when I run into a problem. I can't say enough good things about this software program, I love ir and can't imagine how I would run my business without it!"

Tuition Express Setup

I am trying to do this on my own and was worried about setting up TE. Benji Fargason called and walked me through the setup and answered all of my questions that I had. He was very friendly and explained everything in easy to follow instructions. He made me feel more at ease, especially since this was the initial set-up of any system like this for billing and tuition collection. I am truly looking forward to the time that this will free as up and we have already received positive feedback from our families. Moving forward, one step at a time. Kudos to Benji for his assistance, and for making me feel comfortable with the software.

The team at Tuition Express were incredibly helpful in getting my center set up on Tuition Express. The implementation of Tuition Express was easy! We had been using Square to process credit/debit card transactions. Tuition Express is faster for the families, saves me time because I don't need to put the payment into the ledger card, and saves the center money! We decided to make Tuition Express an option available unless payment was late 2 times. We had almost half our families sign up for Tuition Express in the first month of having it available. As director I love Tuition Express because I don't need to follow up on payments any longer. The families that I would need to pursue for payment are either on Tuition Express or pay on time now so that payments aren't automatically withdrawn. I have more time to focus on the care of the children, and the bank account has never been better. A win-win for me!

"I was frustrated when I was working with Danny and getting things transferred over, we were missing emails and connections which prolonged my date to start at the beginning of the year- Parents were unhappy that we put out a notice that we were not ready to roll it out- We have been having issues with the finger print scanner- working on that now, only compatible with Windows 7- and we are all on 10 now and had to pay an IT person for 7 hours trying to figure out how to get connected etc... All growing pains when we do something new. That is the 3 Star of ease- Tuition Express team has been amazing, very helpful and took time to really get me into the system and getting be comfortable- Benji & Marlina were awesome!! I am very excited about how time is going to be saved, collections will be reduced and so much more as I figure more out!"

I have had wonderful experiences at each and every interaction with Procare staff. Kacilia is so helpful-she guides me through issues and explains how and WHY we're taking certain steps so that I am not only solving that particular problem but also LEARNING how to take care of issues in the future. She takes so much of the stress from problems that arise and turns it into such a positive experience. Paula from software sales replied promptly with a concise email addressing specific questions I asked about module purchases and followed up with a phone call (which I wasn't able to take that day) and then another phone call the next day and patiently explained the software and answered all my questions. She also intuitively provided me with information I needed that I didn't even know I needed. I have never had an experience with procare that has not only helped me to solve problems but educated me in the use of the software. Doug, who has been the leader in many of the webinars I've attended, answers each and every question that is put forth from users and helps everyone understand how that particular aspect might apply to their situation. I have not come across anyone who doesn't go above and beyond to assist their clients. This is the most helpful remote team with which I've ever worked.

Just like with any other large company that serves a large part of the country, when you call Procare, you have to take your place in the "waiting cue". However, once you get your turn at bat, the service is always outstanding. I have had to call the tech support team on several occasions and each time, they go above and beyond the call of duty to help me get back on track. My last experience was exceptional in that they were able to solve a problem that required me faxing them information before they could fix the issue. I was advised by the tech support guy on the phone to fax the information. I figured it would take forever because my fax would be lying around in some unattended bin. Well, to my surprise, they took care of my issue within 30 minutes! Procare is the best! "

We use Accounts Payable, Accounts receivable, payroll, General Ledger and the Pro care time clock check in with finger print pad. Software is always being brought current and improved. Service is friendly and helpful. Only once was I helped by someone who was obviously new and unfamiliar with the details for the program...in 20 years. Finger print pad usually works for parents and for those it doesn't, a code is interchangeable. Reports generated are useful and very flexible. Worth every penny.

Our preschool is just getting started with Procare. Set-up with any new system is an undertaking, and customer support is of great importance. We actually left another company because of a lack of support during this initial process. I've been so pleased with the attention to detail and the concern the Procare staff and support team have demonstrated so far. It's very personal and the follow-up is great. There are several avenues for assistance, which is also a great feature. I'm glad we made the switch...gives me confidence moving forward with this program.

"Procare offers everything you could ever want in a Child Care management program. Overall it's quite easy to use. You can buy just the basic program or add extras depending on your needs. We bought the basic to start, but plan to upgrade to a more inclusive package that includes a signature capture option. The basic is affordable for those just starting out and even the full package is a reasonable price for everything it can do. But the best part is their customer service. The support techs are located in the US so they are easy to understand. The tech I worked with went over and above my expectations to fix my mistake. I can't say enough good things about my experience."

Bottom line: you won't find better customer care with any other childcare software provider. That is the #1 reason to choose this software without question. Have trained a number of people on this software (mostly persons who have difficulty with computers in the first place.) It takes some getting used to for people unused to databases, but once you know how to use the software it works well. If you are computer savvy, especially with Windows type databases, the software is fairly easy to use."

"Overall, I would say my experience with this product has been great. I am not the most tech savvy person and anytime I have had difficulty the tech support has been very helpful. They explain what they are doing and I like the fact that they can go into my computer from their end and help walk me through or fix it themselves. The only con is that sometimes you wait in the ""Q"" for extended periods of time until a tech support person can get to you. "

We had a very difficult time last year trying to figure out which new software to go with. We looked into several different ones and did phone conferences with all of them. We were definitely overwhelmed...It is hard to go to something you are so used to and comfortable with to something that seems so difficult at first! We decided to go with Procare because it seemed to match everything we needed! Honestly, switching to Procare was the best thing we did! It is super user friendly, the videos are AWESOME and the staff has been great (especially Karen who is always quick to email or help me out). I can usually figure stuff out on my own just by playing around but if I ever am stumped I either watch a video, read the manual or even email and my questions have always been easily answered! As of now I can't really think of any cons other than why didn't we find you guys sooner?? Definitely worth the money and we hope to eventually move along with the tuition express! Thanks for everything!

I have used Procare for many years. And I would use no other program but Procare. It is up to the minute programs, pages for asking questions and pages that show you videos of what you are looking for in Procare. It takes a few minutes and you can see everything on the screen that looks just like the one you use everyday. Their online and call in for help, is a tremendous for frustrated or new people learning each part of the program. The remote access from their computer to yours is right on your screen! I recommend everyone trying Procare Mangement and you would be disappointed.

"Pros: We have an organization which consists of more than 20 sites, and we employ more than 100 persons. Procare has greatly increased our administrative efficiency and organization. 1) Centralized database for our multiple locations. 2) Administrative efficiency has been greatly increased. All information available VERY rapidly. 3) Ease of access and organization. 4) Accounting is truly a breeze with this software! Cons: There IS a need for one of your staff to learn the ins and outs of the program and then to serve as a trainer to work with those who will be directly involved with the software, so expect a bit of an initial learning curve. This is only the most minor thing, as Procare provides tremendous technical support as well as online videos for training. Overall: Procare is the definitive answer for Child Care management. Procare provides a total package with everything needed to organize our business. Procare is constantly evolving to become better. The staff and customer support is top notch!"

What I outlined above is just a tiny fraction of what Procare offers. Cons: I would like to see a report card module being added for school age students. I understand that this program is geared towards childcare, but it offers so much that I believe this is the only thing missing to make this program complete for chld care or school age students. Overall: I would recommend Procare since you can do so many things. As I mentioned above, this program offers a variety of possiblities, no need to have different programs running when you could have it all in one. Procare is easy to use and offers many options to meet the needs of a child care facility."

"Pros: Procare Version 10 is fantastic. It is simple, clean, user friendly, easy to learn. We use it in all of our schools, currently 5. I like the built in features to restrict access to modules or functions by school or by individual user. Automatic billing is a breeze. Information that I regularly use for an account is right on the screen. Separate billing boxes per child allows more in depth reporting. Combining Procare with Tuition Express makes billing and collecting our tuitions seamless. The support available is top notch. As a member of the Procare community, we have access to questions/answers by topic. We have found that we can find answers to our questions very quickly by referring to posts by other members. Cons: More detailed documention of how to create certain reports would enhance the program. Overall: Procare Version 10 is THE choice for child care centers that want to be able to focus on children and have the ""office"" take are of itself!"

"Pros: Both Procare programs helped lauch our after school program from the dark ages to the computer age. The accounting portion greatly improved our collections and most importantly, our security has become much more efficient with the attendance piece. Cons: When we purchased the V9 version we knew V10 was in the works. We were told the end user would not be affected by the upgrades. However, when V10 came out, new V10 Procare looked very different. However, it functioned the same with many improvements. This made the transition smooth. The support is fabulous and Procare has proven to be an excellent product. Overall: A great product! Highly recommend."

"Pros: Customer Support is great. One recommends an idea the support team considers it and may implement it. Tuition Express is great. Always keeping up with technology Great features and functions Cons: Monthly credit card expense Not able to utilize another credit card merchant because of the integration. Would like to see an integration between an online enrollment form and the system. Eliminate human error. Parent clock in/out. Fingerprint scanner is not always reliable. Do not like the two code process. More functionality on the employee module. Pop up reminders when annual training is due. Overall: Will recommend to other childcare centers. Overall pleased, but there are always tweaks."
